It seems like every day I receive a LinkedIn message from a brand new virtual event company that promises to do everything and anything I ever wanted. Video? No problem. Embedded chat? Easy! Cool Avatars? Absolutely! Some cost a few thousand, others, tens of thousands and then you have the very special platforms that are priced like James Cameron is on retainer. How can one declutter the thinking?

As a leading event agency that builds virtual and live experiences, we are constantly evaluating, testing and trying to break virtual event platforms as we don’t recommend any that we don’t use ourselves. Since March, we have demoed more than 30 different platforms and plugins and that number continues to go up. So what do we look for when evaluating new virtual event tech? While every event and client need is different, there are a few standard questions we always endeavor to ask. They are:

1. How much of the platform can be customized? Some clients want simple requests like color changes, others want to customize authentication – know what can be changed before you sign up!

2. What are the authentication options? Some platforms provide their own authentication, others use platforms like Google, LinkedIn and Facebook. While this might present an ease of access, it could also present challenges, especially if your company has issues with authenticating via social media platforms. One client told us, “we provide privacy solutions and just can’t be seen using Facebook as our authentication gateway.”

3. How much support do we get? There’s onboarding and then there’s real support. Make sure you know how many hours of support you get as there will plenty of questions as you get closer to the event.

4. Who owns the content? The devil is in the details, so make sure you read your service agreement because your content should be your content.
